In property management, one thing you need to do right after you properly screen a potential tenant is a thorough walk through of the unit before they move anything in.
First of all you will need:
1) a Noted pad with a pen or a walk through checklist
2) a camera. You will need to walk through the unit with the tenant that is going to move in.
3) a walk through checklist
First- Make sure you right down and photograph all new appliances, new paint, new doors, or in general anything that has cost you money to replace or fix.
Second- make sure you point out to the new tenants all the things you have fixed or changed so they understand what work has been done to the unit and that you want them to take care of these items.
Third- as you go through the checklist form make sure to notate all the things that are in working order and anything that is wrong with the unit so you can go back to addressee it.
Fourth- Once you have fully completed the form, have the tenant date and sign it. Make new copy for your tenant and you keep the original.
Now, the reason of going through this process is:
If your tenant moves out they are most likely going to ask for their full security deposit back. You will have to do a move out walk through, before or right after they vacate the property. Go over everything with them, and if there are items inside the house that need to be addressed point them out and take some photos again. Make sure that they understand there is a possibility that that you may have to hire someone to come and fix any issues.
In some cases they might challenge you but, you need to stay strong and go over the move in form and explain to them the situation.
The pictures you took when they moved in come handy when and if you go to court. There you will have to prove your case and support your statement.
